Catching Up on your bookkeeping

Most business owners who reach out about catch-up work start the conversation with some version of an apology. “I know we’re pretty far behind.” “It kind of got away from us.” “I’m embarrassed to say how long it’s been.”
There’s no need for any of that. Falling behind on bookkeeping is one of the most common problems in small business, and it almost always happens the same way: the business was busy, bookkeeping got pushed to next week, next week became next month, and somewhere in there the backlog became something that felt too big to approach. The longer it sits, the harder it is to start.
Here’s what I want you to know: it is fixable, and it is almost always less complicated than it feels.
What “Behind on Bookkeeping” Actually Means
Before worrying about the solution, it helps to understand what the actual problem is.
When your books are behind, it means transactions haven’t been recorded, accounts haven’t been reconciled, and your financial reports — if they exist at all — don’t reflect what actually happened in your business. You can’t reliably answer basic questions: How much did the business make last quarter? What did we spend on materials? Are we ahead of or behind last year?
The consequence isn’t just that you can’t answer those questions in the moment. It’s that every financial decision you’ve made during that period — pricing, hiring, purchasing, expansion — was made without the information those reports would have provided. That’s the real cost of falling behind.
What the Catch-Up Process Looks Like
Cleaning up a bookkeeping backlog is a structured process, not an overwhelming one. Here’s how it works when we take it on:
Step 1: Assessment. We look at what you have — bank and credit card statements, existing QuickBooks records if any, receipts or documentation you’ve kept — and determine the scope of what needs to be done. This is how we arrive at a fixed price for the project.
Step 2: Reconstruction. We work through the backlog systematically, recording every transaction, categorizing it correctly, and building out the chart of accounts in a way that makes sense for your business. This step requires your statement access, not boxes of receipts — the bank and credit card statements contain the authoritative record of what happened.
Step 3: Reconciliation. Once transactions are entered, every account is reconciled to zero discrepancy. This is how we confirm the records are complete and accurate.
Step 4: Review and handoff. When the work is done, we walk you through what we found, what we fixed, and anything you or your CPA should know. We deliver clean financial reports and document any notes about unusual items.
Step 5: Ongoing maintenance. If you want to continue with monthly bookkeeping after the cleanup, we set up a system that keeps things current going forward so this doesn’t happen again.
How Far Back Can You Go?
Farther than most people expect. A backlog from earlier in the current year is straightforward. A full year is a common project. Even two or three years behind is something we work through regularly — it takes longer and costs more, but it’s entirely doable.
The one thing that makes catch-up harder is missing documentation. Bank and credit card statements are available online going back several years for most accounts, so the records are typically recoverable. If there are unusual transactions that require additional documentation, we’ll flag those specifically rather than hold up the entire project.
The Hardest Part
